Privacy policy

What we collect, why we collect it, who else sees it, and how to make us stop. Last updated September 15, 2026.

The short version

We collect what we need to put you on a start line, keep you safe on the day, and tell you when the next city opens. We do not sell your information. You can ask us to delete it at any time by emailing team@wakasflockrun.com and we will.

The rest of this page is the detail, in plain language, because a policy nobody reads protects nobody.

What we collect, and when

When you register for a run. Your name, email address, mobile number, the city you are running, the pace crew you picked, and the name and number of an emergency contact. We also store which version of that event's waiver you agreed to and the moment you agreed to it.

When you join the list. Your name, email address, mobile number where you give one, and the city you are interested in.

When you make a member account. An email address and a password, the runs you have finished, the badges you have earned, and your choice of whether other members in your city can see you. Passwords are stored hashed, which means we cannot read them and neither can anybody who takes a copy.

When you fill in a partner, venue, vendor or volunteer form. The contact details and the answers you put on the form.

When you just visit. Your browser sends the usual things: an IP address, a device and browser type, the pages you looked at, and where you arrived from.

Why we hold an emergency contact

Because a 5K is physical activity in a crowd and there is medical staff on site. If something happens to you on the day, we want to be able to reach somebody who knows you. We do not use an emergency contact for marketing, we do not add them to any list, and we do not sell or share that name or number with anybody.

The trackers on this site

Every page loads Google Analytics 4, the Meta advertising pixel, and a TikTok advertising pixel. These tell us how many people came, which pages they read, and which of our posts and adverts brought them, and they let us show Flock Run adverts to people who have been here before.

They set cookies and similar identifiers in your browser, and they send information about your visit to Google, Meta and TikTok, who are separate companies with their own policies. Under some state laws that counts as sharing your information for cross context behavioural advertising, so it is named here rather than buried.

If you do not want it, you have three ways out. Turn on a tracker blocker or Do Not Track in your browser, and what is blocked does not load. Use your device's own opt out for ad personalisation. Or email team@wakasflockrun.com with the words Do Not Sell Or Share and we will keep you out of our advertising audiences.

Who else sees your information

The companies that run our plumbing. Our database and file storage are with Supabase, our site and our backup copy of every form submission are with Netlify, and our email goes out through Resend and Google Workspace. They hold data on our behalf and are not allowed to use it for themselves. Our data is stored in the United States.

Ticketing platforms, for ticketed cities. When a city is ticketed, tickets are sold by an outside platform under its own terms, and it collects your payment details, not us. We never see or hold a card number.

Event partners, in a limited way. Some partners are given a key that lets them read our event list and the start list for an event they are part of, and in some cases a registered runner's contact details, so they can run check in or their part of the day. They are not allowed to sell it or use it for their own marketing.

Nobody else. We do not sell your personal information, and we never have.

Photographs and video

There are professional photographers and videographers at every event. Pictures and video from the day are used to promote the Flock Run, given free to the runners in them, and shown by our partners and sponsors to talk about the event they were part of.

If you would rather not be filmed, tell a staff member on the day and we will keep you out of it. If a picture of you is already up and you want it down, email us and we will take it down.

How long we keep it

Registration records are kept while we are still running events, because a start list, a waiver version and an emergency contact are the record of what happened on a given day. Member accounts are kept until you close them. List signups are kept until you unsubscribe or ask us to remove you.

When you ask us to delete something we take it out of the live systems. A copy can sit in a backup for a short while until that backup rolls over, and anything we are legally required to keep, we keep.

What you can ask us to do

You can ask us for a copy of what we hold on you, ask us to correct it, ask us to delete it, ask us to stop emailing or texting you, and ask us to keep you out of our advertising audiences. Depending on where you live, some of these are rights you have by law. We give them to everybody regardless of where they live.

Email team@wakasflockrun.com and say what you want. We will answer within thirty days. We will not treat you any differently for asking, and we will never charge you for it.

Every marketing email we send has an unsubscribe link at the bottom, and it works immediately.

Under 18

Runners under 18 are registered by a parent or legal guardian, who agrees on their behalf and is with them at the event. We do not knowingly collect information directly from anybody under 13. If you believe a child has given us information, email us and we will remove it.

Keeping it safe

The site runs over an encrypted connection. Our database refuses outside connections outright and every table carries its own access rules. Passwords are hashed and checked against known public breaches, so a password that has leaked somewhere else cannot be used here. Every action a staff member takes in our admin panel is logged with who did it and when.

No system is perfect. If something ever goes wrong, we will tell the people affected rather than hope nobody notices.
